The Administrative Assistant provides general support in specialized administrative and medical areas, maintains office records and date, and interacts with staff and public under direct supervision of the program manager.
How will I contribute
Check clients into Avatar system and route to appropriate station Prepare urine bottles for u/a testing Conduct u/a testing Retrieve and/or transfer voicemails to appropriate staff Accept payments and write receipts for self-pay clients paying fees Check for and process all incoming faxes Prepare and obtain all consents/releases are signed and ready for processing Request cross checks from surrounding methadone clinics on admits Input admission data/ update data into Tulare County and Kings View Avatar systems Enter admissions/discharges in Excel file Copy and prepare blank documents for MMT, Detox, and Suboxone charts for new admissions Obtain necessary paperwork for courtesy dose clients (i.e. releases and pay source) Retrieve and process u/a results from San Diego Reference Lab website Prepare client u/a results for doctor/counselor review Obtain initial paperwork, obtain u/as, and conduct Medi-Cal eligibility for new admits Prepare id cards for new admits Schedule client u/a testing in Netsmart Avatar System Record and prepare minutes for staff meetings Conduct u/a call backs on clients with 13 or more take-home bottles and monitor for compliance Assist Medical Staff with performing blood draws, administering EKG's, taking and recording vitals on all new admit clients and at annual physicals Maintain, prepare, and submit various data reports for Tulare County on a monthly basis, or as required.
What I bring
Associate Degree plus 2+ years of experience working in medical office setting, multitasking, work with licensed medical personnel Class C Driving License Basic understanding of clerical procedures and systems such as recordkeeping and filing. Proficient in Microsoft Office Suite or related software. Typing and/or 10-key. Excellent organizational skills and attention to detail. Ability to work in a fast-paced environment and to organize work in an appropriate sequential order. Excellent verbal and written communication skills. Ability to work independently. Remaining calm in volatile situations, kindness, understanding, helpful Experience and knowledge of working in SUD programs and with SUD population preferred, IV Therapy and Blood Withdrawal Certified preferred, Medical Assistant Certification preferred
