ORGANIZATIONAL SUMMARY:
The Global and National Security Institute is an initiative designed to further place the state of Florida at the forefront of addressing critical issues facing the nation in sectors such as defense, economic and political security, health and human security, infrastructure and environmental security.
POSITION SUMMARY:
The Conference and Event Planner will focus the role on the planning responsibilities to meet the growing demands of the Global and National Security Institute. GNSI has vastly expanded its conference schedule, and the complexity of its conferences requires a deeper focus on the details of event planning. This new classification will give the Conference and Event Planner position a direct focus on the logistical details and setup process for events. This position will handle the vast requirements of setting up an event or conference including speaker management, scheduling parking areas, Bull Runners for speaker's transportation, and event security. The new position focus will allow great attention to detail of these logical matters without the analyst component, allowing other positions to focus on conference research content and associated publications.
RESPONSIBILITIES:
Plans, schedules, and monitors logistical activities for GNSI events and conferences, including arrangements for registration, meeting facilities, meals, lodging, audiovisual equipment and operators, transportation and tours.
Serves as primary liaison with event speakers and internal/external constituencies on matters relating to program activities; represents the unit with respect to program activities on a local, regional, and/or national basis. Coordinates event planning efforts with members of the college, school, department, center and/or external community as appropriate.
Oversees and coordinates the activities of volunteers, staff, and students to include training, scheduling, work allocation, and problem resolution; employs motivational techniques to achieve peak productivity and performance.
Monitors fiscal event planning for permissible expenditures, oversees billing accuracy from vendors, speakers, and coordinates invoice processing.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
This position requires a Bachelor's degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field, with two years of experience in related positions; or a Master's degree in the fields listed above; or an equivalent combination of related education and experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
