Marketing Project Administrator (Marketing)
Track all marketing projects and maintain a marketing calendar for meetings, deadlines, and tasks.
Organize and tag assets within Air (our digital asset management system) for easy access across teams.
Implement brand standards for email signatures, collateral, and client-facing materials.
Support marketing initiatives by assisting with advertising contracts, analytics tracking, and content updates.
Content & Collateral Management
Assist in updating and editing menus, booklets, and marketing collateral to reflect brand standards.
Maintain photo galleries and ensure tasting menus align with upcoming photography needs.
Signage of menus on buffets and stations
Managing and maintaining website updates, as needed
Communicate with the sales and culinary teams to align marketing efforts with menu updates.
Purchasing & Venue Upgrades
Track and manage vendor relationships for venue furnishings, signage, serving pieces, and decorative elements (including certain pieces for stations).
Maintain a spreadsheet of purchases, including where items were sourced and pricing history.
Research and coordinate venue furniture and fixture upgrades in collaboration with leadership.
Analytics & Reporting
Track and report on marketing analytics, including Instagram, WeddingPro, Zola, Google, and website performance.
Monitor advertising contracts with partners like Philly Mag, WeddingPro, and Zola.
Team & Communication Support
Facilitate monthly marketing meetings with team supervisors to gather cross-departmental needs.
Assist in merchandising efforts, including vendor outreach and pricing research.
Work closely with the IT team to address tech and security concerns related to marketing systems.
Qualifications
Strong organizational and project management skills with keen attention to detail.
Ability to track multiple projects and deadlines while maintaining clear communication with stakeholders.
Experience with content editing, digital asset management, and branding is a plus.
Proficiency in Google Suite, spreadsheets, and marketing analytics platforms.
Proficiency with In-Design, Photoshop, and other Adobe Suite applications.
A curious and proactive mindset--excited to contribute new ideas and problem-solve.
Excellent verbal and written communication skills.
Prior experience in marketing, project coordination, or administrative support is preferred.
