Receptionist (Administrative)
We are seeking a personable, detail-oriented, and resourceful receptionist who excels at delivering an exceptional client experience. As the first point of contact for our firm, this role requires someone warm, empathetic, and proactive in addressing client needs. The ideal candidate will not only manage day-to-day reception duties but will also be flexible and support the overall organization as requested by management.
General Job Duties & Responsibilities:
Greets visitors promptly and professionally. When our clients/visitors walk into our office, we want them to find a welcoming and helpful hand.Maintains visitor logs as required.May help to complete security procedures such as issuing badges and passes. Ensure that all clients are offered bottled water and every child is provided a coloring book and balloon.Ensures that all clients are checked-in and seen in 15 minutes or less. Ensures that visitors and clients are hosted before going into the office area.Answers the phone in a timely, professional manner.Responds knowledgeably to internal and external inquiriesPerforms external mailing of documents and other items as designated by management.Maintains and distributes office supplies.Provides administrative support and other duties across the organization as requested by management.Responsible for ensuring employees snacks are stocked and distributed properly as approved by management and the breakroom is cleaned/sanitized daily
Qualifications
Three plus years of experience providing receptionist, administrative, and/or customer support responsibilities.High school diploma or general education degree (GED) required. Associates degree is a plus.Must be a notary or willing/able to become one.Excellent verbal and written communication skills Possess a high level of tact and diplomacy to effectively interact with clients, visitors, and team members.Technically proficient in Windows, MS Office, Word, Excel, Outlook, and the Internet. Must be able to quickly become proficient in Filevine and Lead docket soft-ware.Articulate and proactive in discussing issues and sharing information with team members.Self-starter with an ability to multitask and effectively execute a variety of assignments with minimal supervision/direction.Ability to maintain confidentially of client case information and other firm business matters.Ability to lift up to 40 pounds, bend, stoop and reach in order to stock items and clean as required.Highly flexible/adaptable in assignments with an ability to maintain a very positive demeanor.Has a high level of self-discipline and maturity to meet performance expectations and adhere to the RLFs policies and practices with minimum supervision.
